Program Assistant, SUD Expansion of Practitioner Education in Social Work

FLSA STATUS: Nonexempt/Part-Time
REPORTS TO: Department of Educational Initiatives & Research
EFFECTIVE DATE: December 2019


The program assistant supports the administrative management of SUD Expansion of Practitioner Education in Social Work grant. Funding for the grant is provided by the Susbtance Abuse and Mental Health Services Administration (SAMHSA) to expand substance use disorder (SUD) practitioner education in social work. The 2-year project will implement a high-quality standardized SUD curriculum. In this position, you will support activities and logistics related to the grant, including curriculum development, faculty development, and meeting and events logistics including processing continuing education certificates. Continued employment in this position is contingent on ongoing grant funds and successful performance in the role.


Duties include the following, as well as other duties and special projects assigned by the director of Educational Initiatives and Research as needed:

  • Collect and compile evaluation and assessment data related to grant activities per SAMHSA’s requirements
  • Coordinate meeting logistics for on-site and off-site meetings, including renting space and catering services as needed, travel arrangements, and reimbursements
  •  Support on-site events
  • Prepare for events, including creating badges, tent cards, information packets, and copying documents 
  • Manage event speakers including contracts, honorariums, scheduling, and correspondence
  • Perform general administrative duties, including word processing, e-mail, filing, and organizing
  • Support Continuing Education including tracking attendance and preparing certificates
  • Process travel reimbursements for meeting attendees
  • Compile and distribute agenda and meeting minutes
  • Process agreements and stipends to participating programs
  • Support marketing and communications related to grant activities and dissemination
  • Support webinars and set up Web-based meetings


  • Minimum 4-year college degree preferred or equivalent work experience, preferably in a national membership association, higher education, and/or social work
  • Experience providing administrative support and/or event coordination for educational programs and/or meeting planning, database management, and/or volunteer management
  • Intermediate to advanced skills in MS Office software (Word, Excel, PowerPoint, and Outlook)
  • Excellent customer services skills with emphasis on respectful and tactful communications
  • Strong organizational skills and attention to detail 
  • High level of initiative and ability to multitask
  • Excellent interpersonal and communication skills  


This position is primarily sedentary and is performed in an office setting. The physical demands of this position are limited to the ability to use a computer, telephone, and standard office equipment; lift up to 25 lbs.; bend; stoop; and carry articles used in program activities. Occasional travel within the United States may be necessary.
