External Function Requests

CSWE 2014 Annual Program Meeting (APM) External Functions

The online submission cycle for APM External Function Requests is now open. It will close on Friday, June 20, 2014, at 5:00 pm (USA ET). Please read the five questions and answers below to learn more about these events and the procedures that will be used to manage them. To submit your event, click here.

  1. For what type of events are these requests?

These requests are for ancillary events held in conjunction with the 2014 APM activities by exhibiting groups and related organizations, including but not limited to advisory board meetings, business meetings, educational events, focus groups, and social functions. Any organization (commercial and nonprofit) that wishes to hold functions of any size or nature in either 2014 APM meeting properties during the October 23–October 25 time interval must complete an External Function Request online. The 2014 APM meeting properties where the external functions will be held are the Tampa Convention Center and the Marriott Waterside Hotel and Marina.

  1. During what time intervals can these events be held?

APM operational policies allow external function meeting space requests to be assigned only during times that do not conflict with official APM programming, exhibits or events. For the 2014 APM the available dates and times follow.

Event Start Time: 9:00 am or 12:00 pm
Event End Time: 1:30 pm or 4:30 pm

Friday, October 24, 2014
Event Start Time: 6:30 pm or 7:00 pm or 7:30 pm or 8:00 pm

Saturday, October 25, 2014

Event End Time: 7:30 pm or 8:00 pm or 8:30 pm or 9:00 pm

CSWE will attempt to schedule your event as requested; however, the sheer number of events to be scheduled at the meeting prevents us from guaranteeing any particular date, time or location. All requests will be processed on a first-come, first-served basis.

  1. What types of costs are involved?

For external function meeting space approved by CSWE, the room rental fee will be waived. Other charges that will apply include those for extensive meeting room setups, labor, food and beverage, entertainment, and audio visual equipment. CSWE will also provide one standing podium and wired microphone at no charge to the group.

  1. When will decisions be announced?

Individuals will be notified of space assignments via e-mail Friday, July 11, 2014. Confirmations will be sent to the contact person’s e-mail address that was included on the request form. Dependent on the location assignment of the event, the notification will include either Tampa Convention Center or Marriott Waterside Hotel and Marina staff contact information, a link to catering menus, meeting space floor plans, and the audio visual equipment costs.

  1. If I have additional questions, to whom should they be directed?

Please contact Linda Finnerty, CSWE manager of meetings, via e-mail: lfinnerty@cswe.org
